1. Answers telephone calls, takes messages, gives information to callers or routes call to appropriate official, and places outgoing calls. 2. Entertains and properly responds to walk-in inquiries and concerns by providing them with correct and relevant information and whenever necessitated, directs them to proper authorities for further assistance. 3. Receives • Memos issued by other offices and dispatches outgoing memos/communications to concerned parties on time. • Documents and forms regularly submitted to the office for processing and approval 4. Sorts incoming communications as to importance and urgency. 5. Releases pertinent office forms and answers queries regarding the same.
1. Drafts and encodes/types memos, transmittal letters, minutes of meetings, simple reports and other such documents. 2. Maintains files of correspondence, memos, minutes of meetings and other pertinent office documents. Files systematically all office records and documents for easy retrieval. 3. Performs other basic clerical duties such as photocopying, faxing, mailing and electronic filing of office documents
C. Coordination work
1. Schedules and confirms office activities for concerned individuals or groups within and outside the university. 2. Disseminates information to concerned parties on the conduct of such activities 3. Facilitates logistical arrangements such as food catering, venue reservation, equipment procurement, and the like for the conduct of such activities whenever necessary. 4. Prepares calendar of official businesses, appointments and engagements.
D. Office Upkeep
1. Sees the adequacy of office supplies by flagging supervisor of lack 2. Checks office equipment upon use and reports any observed problems and/or maintenance lag for immediate action.
