Q. I have over 100 sessions, is it possible for me to go virtual?

A. Absolutely. You may pre-record some sessions, so it’s much more manageable during the event. Don’t forget to use tools to arrange interaction outside of sessions such as attendee networking and sponsor/exhibitor showcases to keep it exciting!

Q.What percentages of virtual conferences use live streaming, pre-recorded video or hybrid?

A.From our statistics of 100+ virtual conferences, we find that live streaming and hybrid format both count for around 45%. And only 10% virtual events have pre-recorded video only.

Q.What streaming or video services does Whova support?

A.Whova supports all mainstream streaming or video services including Zoom, Microsoft Teams, Google Hangouts, Vimeo, WebEx, GoToMeeting, UberConference, Blue Jeans, Crowdcast, GlobalMeet, CenturyLink, Twitch, Youtube Live, Facebook Live, Periscope, Younow, Bambuser, Ustream, Dacast, and Brightcove. If you use a different service, please let us know and we can easily add it into our integration.

Q.What platforms does Whova run on?

A.Whova has a Web Portal that can run on any browsers on laptops or desktops, and we also have a mobile app that runs both on Android and iPhone.

Q. Would the virtual conference features still be useful in a face-to-face event?

A. Definitely! For example, the video uploading can allow your attendee to watch the recorded session after the event and Virtual meet-ups allow your attendees to use online video meetings both pre and post event since they are no longer together at the venue.

Q.How does Whova help sponsors and exhibitors in virtual conferences?

A. In Whova, sponsors and exhibitors can post videos and schedule live streaming to demo their products. They can add promotional offers, product brochures, photos to their profiles on Whova app to generate leads. Once an attendee signs up for their offers, his/her contact info is shared with the exhibitor or sponsor (a part of lead generation). Attendees can also directly contact sponsors/exhibitors to inquire about their product or service. Organizers can incentivize attendees to interact with exhibitors with the Passport Contest gamification, which encourages attendees to explore different exhibitors for the chance to win a prize.  Sponsors can also increase their visibility by being displayed on in-app sponsor banners throughout the app and having their name and logo featured in sponsored sessions.

Q.When I organize a hybrid event, do you have any suggestions how I could promote networking/interaction between in-person attendees and virtual attendees?

A. When you put discussion groups, topics, or virtual meetups on the event app, both in-person attendees and virtual attendees will see them so they can interact together. Q.Can you stream multiple sessions at one time?

A.Yes. Whova supports simultaneous sessions. However, you often need to purchase a plan from Zoom, WebEx or any other streaming platforms to support multiple hosts.

Q.How long will the event information be stored in Whova?

A.By default it is stored for 3 months. If you need longer time, just contact your account manager to get help.

Q. Do you provide registration or can you work with other registration platforms?

A. Absolutely. Whova provides a registration platform and also seamlessly integrates with other registration platforms such as Eventbrite, Constant Contact, Cvent, Regfox. It’s also easy to to import the registrants with your own format.

Q. What tools are recommended to collect feedback in a virtual event?

A. Whova provides various feedback tools including surveys, live polling, live Q&A, session feedback, session comments, etc. We have question banks and examples you can use and more than 10 survey templates to choose from.

Q.For the Live Q&A how do the presenters see the questions?

A.Speakers and moderators can see the questions inside the mobile app and web portal and there is also a URL they can obtain to share and display on a larger screen. The questions are sorted based on attendee votes and can also be pinned to the top.

Q. How does the virtual meet-up feature work? Does it create a Zoom room or something similar?

A.A participant can use a video meeting link (Google hangouts, Zoom, or any other video meeting software) to start a virtual meet-up and attendees can join the meet-up from the Whova community board.
Attendees can also create a small video meeting (or video chat) directly from Whova that can support up to 20 people. Whova also supports 1-1 video chat directly through the app.

Q.How to handle participants with different time zones?

A.Whova automatically converts the session times to each user’s timezone on their app.
